Position Description –Manager, Proposal Operations NA Region

As a Manager of Proposal Operations, your principal responsibilities will include all aspects related to responding to RFx activity specific to Ellucian suite of solutions.  You will play an essential role in the sale of Ellucian’s solutions to current and prospective clients in the higher education industry throughout the North American Region. As part of a dynamic team, you will work closely with the Ellucian eco-system to support the Sales Division’s business through the development of compelling and winning proposals. You will play an essential role in the sale of Ellucian’s products to current and prospective clients in the higher education/post-secondary industry throughout the region.


This position works in fast paced environment, managing assignment completion within the designated time frames, and in accordance with established procedures.  You will play an essential role in the sale of Ellucian’s products to current and prospective clients in the higher education industry throughout North America.  This position is located in our Malvern, PA office.


Position Responsibilities

  • Read and analyze incoming RFx activity and provide initial evaluation for Ellucian solution fit
  • Establish a production schedule & make appropriate Proposal Team assignments based on requirements and due dates specified in RFP
  • Work with regional Account Executives and Sales Leaders to drive adoption of predefined sales processes
  • Monitors all aspects of project management for entire Specialists Team. Ensure all RFP task assignments are identified, assigned, and delivered on time and to spec, with accurate, complete, and approved content that meets all technical and business proposal requirements
  • Review responses provided by Specialists using Ellucian-established writing principals, theories, concepts, and techniques
  • Ensures compliance with Ellucian established final review & quality check of the proposal before submitted, including proofing, compliance w/ proposal specifications, packaging & delivery
  • Maintain high-level knowledge of Ellucian solutions and competition for identifying best fit opportunities
  • Stay abreast of current and emerging trends in the HE industry, competitive information, as well as Ellucian services needed to help develop responses to RFP requirements
  • Backfill when surge support is needed to handle RFx management in the Specialist role.
  • Mentor and coach direct reports in professional development in accordance with Ellucian established policies
  • Provide backup for Proposal Pricing Specialist as needed
  • Maintain documented Proposal processes from intake to completion
  • Constantly drive to improve, expand and drive adoption of Qvidian RFP/Proposal tool


Position Required Skills/Knowledge/Experience:

  • Undergraduate degree (Business, Journalism, Marketing, or relevant work experience)
  • Minimum of 5-7 years of prior proposal related experience
  • Minimum of 3-5 years of people management/leadership
  • Expert Microsoft Word and Excel skills required (Word styles, formatting; Excel Formulas)
  • Strong attention to detail under pressure while managing multiple projects and priorities
  • Strong written and oral communications skills
  • Strong critical thinking skills for appropriate decision making
  • Ability and willingness to follow established Ellucian RFP response guidelines, processes and best practices
  • Ability to learn and support regional utilization of Qvidian Proposal Automation tool
  • The ability to plan, strategize and problem-solve as part of a team
  • Ability to manage and supervise a high performing, diverse team in a remote environment


Desired Skills/Knowledge/Experience:

  • Prior experience in cloud/technology industry a plus
  • Prior Higher Education background a plus
  • Prior Qvidian or similar proposal management solution a plus
