As an Operations Process Specialist at Ellucian you will be leading, facilitating, and executing Operational Auditing for the Cloud business in partnership with Ellucian’s Information Security team.  In Operational Auditing you will ensure our Cloud business is tracking to business standards and key performance indicators so that our teams and leaders have a clear and concise understanding of whether we are being successful in our delivery of services to our customers.  The position requires that you work collaboratively across the organization to identify areas of improvement in current data, policies, procedures, reporting, communication, ITSM practices and training. You will be part of the team who implements new tools and/or procedures while continually being focused on the overall Business Unit’s needs and goals. 

 

Responsibilities:  

 

  • Operations Tracking 

  • Propose and plan for operational audits in business units.  

  • Ensure appropriate evaluation techniques (e.g. automated testing, statistical sampling, etc.) have been identified for effectively and efficiently analyzing and testing process and control effectiveness and information accuracy. 

  • Elaborate the procedures of sampling and guidelines for collection and reporting quality data  

  • Perform ongoing evaluation and analysis of business operations and workflow to identify areas for improvement in standards 

  • Execute operations sample audit and assess operations, process, compliance, key risk and control indicators.  

  • Processing Audits: 

  • Collaborate with all levels of personnel from operational staff in the field to the executive management team as applicable for each audit. 

  • Assist with the preparation of materials presented to auditors on behalf of the internal audit function.  

  • Ensure audits are complete, including: reports; memos documenting and summarizing the audit results; and recommendations are accurate, logical, concise, and grammatically correct in compliance with the internal audit department standards. 

  • Prepare and present quality reports of audit findings and recommendations to Cloud leadership  

  • Executing on Audit Results: 

  • Inspect data, elaborate on, and recommend improvements  

  • Effectively communicate and report audit status, results; and work with management to develop management actions plans to remediate audit issues and process improvement enhancements.   

  • Alert appropriate Cloud management regarding any required staff training shown to be a requirement based on audit outcomes and/or to minimize risks 

  • Monitor the status of applicable recommendations and enhancement implementations; ensuring past audit recommendations are implemented. 

  • Identifying, recommending and guiding teams to best practices where they are not currently followed 

  • Work with manager to prioritize work relative to business effort, urgency and impact 

  • In an agile manner, collaborate across the organization to analyze and improve upon audit standards that supports organizational needs 

  • Make use of communication standards to communicate operational audit policies and practices across full organization 

  • Responsible for supporting the use of unified ITSM tools; including collaboratively designing, testing, process implementation and training coordination across the Cloud Business Unit.
